Terms and Conditions of booking
Many thanks for your interest in booking the services of Rose Gold Beauty Limited (T/A Rose Gold Retreat). Our aim is to offer an outstanding experience for all of our clients. In order for us to ensure that your appointments run on schedule, and that you are offered the greatest flexibility in availability when booking appointments, we very much rely on your assistance in helping things run smoothly. With this in mind, please find below the terms and conditions for booking. If you require any clarification on these points please contact our team before booking.
CANCELLATION / RESCHEDULING
If you can no longer attend your confirmed appointment please contact us as soon as possible so that we can either cancel or rearrange your booking for you. We appreciate you giving us as much notice as possible so that your appointment slot may be offered to someone else. We do not always have access to Facebook or other social media out of hours, so please either reply to your emailed booking confirmation or call us on 0191 2700256 to ensure we get the message without delay. If it is out of hours or if we are with clients and can’t answer your call please leave an answer machine message and one of the team will get back to you as soon as possible.
We fully understand that on occasion you may need to cancel or reschedule and we will always work with you to make this process as easy as possible, however please note that in order to protect our small business and offer the best service to all our other clients we do operate a cancellation policy whereby 50% of the total cost of your booking will still be payable if you fail to attend your appointment without cancelling, or if you cancel with less than 24 hours notice. An invoice will become payable, and further bookings will not be authorised until the balance is paid.
CHANGES TO TREATMENTS REQUIRED
The payment required for your appointment will be calculated based on the services you requested at the time of booking. If you decide within 24 hours of your appointment that you no longer require a treatment, or that you require services of a lower value, you will still be charged the original appointment price. If you would like to make an amendment to your booking more than 24 hours in advance please contact us and we will be very happy to help.
PARKING AND TIME OF ARRIVAL
There are no parking restrictions surrounding the salon so you should find parking easy. Please feel free to park directly outside or in any of the surrounding car park spaces.
Please arrive promptly for your appointment. If you anticipate that you may be late please let us know as soon as possible. We will do our best to accommodate you. Please note that if the salon is busy we may not be able to extend the booking time and in this case you may not receive the full service booked. In this circumstance you will still be charged the full price of your original booking.
If you are so late that the appointment can not go ahead then your appointment will be cancelled but you will still be charged 50% of the full treatment value for the missed appointment. as a no-show You will be welcome to schedule another appointment once this payment is made.
At the end of your appointment we will calculate the balance payable minus any discounts. We accept all major credit and debit cards with a contactless card reader, and we also accept cash payments. We do not accept cheques. The business is not licenced to provide a credit facility so your balance must be paid for before departure. Failure to do so will be reported as a criminal offence.
MEDICAL CONDITIONS / CONTRAINDICATIONS
All new clients will have an initial consultation before treatment commences, during which we will record the details of any medical conditions, allergies, sensitivities or other contraindications to treatment. On conclusion you will be required to provide signed consent to treatment. This consultation is free of charge and will form the basis of your client record card. For any subsequent appointments it will be your responsibility to inform us of any changes to these details before treatment commences. This includes, but is not limited to pregnancy. Any information shared will be treated in the strictest of confidence and will be stored securely in line with data protection guidelines. Information will only be used for the purpose of providing safe treatment.
PATCH TESTING / SENSITIVITY TO TREATMENT
Where there is a requirement to carry out a sensitivity / patch test this will be indicated during the booking process and an appointment must be booked for at least 24 hours in advance. Testing will be conducted in accordance with manufacturers and insurers guidelines and is compulsory. Bookings for treatment will be cancelled where clients fail to attend patch testing. Where patch tests indicate a potential sensitivity, treatment will be cancelled with no charge (even within 24 hours of treatment subject to satisfactory evidence.)
If you experience any sensitivity or reaction either after patch testing or after treatment please seek professional medical advice. Please also let me know as soon as is practically possible so that I can provide product information to your doctor which may assist with your treatment. I will record details on your client record card for future reference.
TREATMENT OF MINORS
Bookings for clients under 16 years of age will only be accepted outside of school hours, with signed parental consent, and with an adult present for the duration of treatment. Certain treatments are age restricted and further details can be discussed by getting in touch.
PHOTOGRAPHY / MARKETING
From time to time we may take before / after photographs during treatments. The primary purpose for this is to serve as a record of your treatment and as a reference point should we need to refer back to your previous treatment.
In addition, we often use photographs of our work for marketing purposes where they may be shared on our website, marketing materials or social media. Should you wish that we do not feature photos of your treatments please let us know and we will mark your record card accordingly. In any case we retain the ownership of any photography and associated rights, and they may not be reproduced without our express permission.
COMPLAINTS AND GUARANTEES
We aim to delight every customer who choses to visit Rose Gold Retreat and very much appreciate your custom. In order to continually improve the service we offer, we appreciate all feedback both positive and areas for development. Although we are confident that you will be very happy with the treatments you receive, if you are unhappy with any aspects of the service please let us know as soon as possible and we will do our very best to rectify the situation. Please contact us privately to discuss the matter.
For nail treatments and semi permanent lash services we offer a 48 hour guarantee where we will fix, free of charge, any defects or breakages that may occur due to application fault. In order for this to apply you must comply with all aftercare advice and report any problems within 48 hours of departure from your appointment.
Where we can not accommodate a fix within a mutually convenient time frame we will, at the absolute discretion of the management team, offer a refund or partial refund of the price paid. Please contact us for more information and advice.
Where there is pre-treatment preparation advice this will be found in the 'more info' section of the treatment menu. Post-treatment aftercare advice will be made available to you following your appointment.
In order for us to send automated text messages and emails reminding you of your appointment and future bookings, please let us know of any changes to your mobile number or email address. These complimentary messages are sent at no charge to your self and are courtesy of Rose Gold Retreat. Failure to receive a notification, regardless of the reason, does not affect our Terms and Conditions of booking. You will still be liable for a missed appointment if you do not attend.
If you do not wish to receive marketing messages or special offers please unsubscribe using the link in the email or text message you receive, or alternatively please contact us and we will remove you from any mailing lists. This will not affect notification reminders.
